01 / Quoting and enrollment

Quote and enroll without leaving the call.

The button lives on the call form. That is where the conversation is. Your agent clicks it mid-call, a pre-filled quote opens for the customer already on the phone, and the enrollment follows in the same session.

careCycle passes what it already knows, down to the Medicare number and Part A and B effective dates. Anything HealthSherpa cannot accept is left out instead of failing the quote. A bad ZIP never stops an agent mid-call.

Each agent signs in to HealthSherpa once and connects their own account. HealthSherpa ties access to the individual agent, so nobody connects on anyone else’s behalf.

Cleaner customer records mean less retyping.

Enrollments come back on their own.

One webhook connection per agency, set up once by an admin. No agent has to do anything.

An agent submits a Medicare enrollment in HealthSherpa. careCycle creates or matches the customer and adds the policy as Pending, with the carrier, plan, effective date, and the writing agent's name and NPN.

Resending the same enrollment is ignored on purpose. Nothing lands twice.

Credit follows the writing agent.

Enrollments submitted by downline agents arrive on the agency's webhook. Each one is credited to the careCycle member whose email matches the submitting agent's HealthSherpa email.

If no member matches, your assignment rules and default assignee apply. Enrollments never land unassigned. A customer who already belongs to an agent keeps that agent.

One connection for the agency. Credit still follows the writing agent.

04 / Setup

Turn on either half.

Quoting sends data out. The webhook brings data in. The two halves are configured separately and work independently, so an agency can turn on enrollment sync today and roll out quoting whenever it suits. Minutes either way.

If you are live on careCycle, you can connect HealthSherpa. Every plan, no add-on.

Both careCycle and HealthSherpa are HIPAA compliant and SOC 2 Type 2 certified. The data moves between two audited systems and nowhere else.

Questions

What teams ask about HealthSherpa.

Does careCycle integrate with HealthSherpa?

Yes. careCycle has a two-way integration with HealthSherpa Medicare. Agents quote and enroll from inside a careCycle call, and submitted enrollments come back as customer and policy records.

How do I connect HealthSherpa to careCycle?

Each agent signs in to HealthSherpa and connects their own account under Settings > Integrations > HealthSherpa Account. Separately, an admin generates a Destination URL and API key under Settings > Integrations > HealthSherpa Webhook and adds them on HealthSherpa’s Integrations tab. Full steps are in the setup guide.

What data does careCycle send to HealthSherpa?

Name, date of birth, email, phone, address, Medicare number, Medicaid status and number, and Medicare Part A and B effective dates, taken from the customer record. Anything HealthSherpa cannot accept, like an invalid ZIP or an unrecognized state, is left out instead of failing the quote.

What comes back from HealthSherpa?

Submitted Medicare enrollments arrive as customers and policies with a Pending status, plus the carrier, plan, effective date, and the writing agent's name and NPN.

Can one admin connect HealthSherpa for the whole team?

No. HealthSherpa ties access to the individual agent, so each agent connects their own account for quoting. The enrollment webhook is different. One admin sets it up once for the entire agency.

Why is the HealthSherpa quote button disabled?

The agent has not connected their HealthSherpa account, they lack permission to edit customers, or the call is not linked to a customer yet.

An enrollment did not appear in careCycle. Why?

Resending the same enrollment is ignored on purpose, so a repeated test will not create a second policy. Submit a new enrollment to see a new record.

An enrollment was credited to the wrong agent. Why?

careCycle credits the submitting agent when their HealthSherpa email matches a team member's careCycle email. If it does not match, your assignment rules and default assignee decide the owner. A customer who already belongs to an agent keeps that agent.

Does the HealthSherpa integration work for ACA?

Medicare is live today. ACA is next.

Does the integration cost extra?

No. If you are live on careCycle, you can connect HealthSherpa. It is included on every plan.

Is the integration secure?

Both careCycle and HealthSherpa are HIPAA compliant and SOC 2 Type 2 certified. Agents authenticate with their own HealthSherpa credentials.
